Refund & Cancellation Policy

Effective Date: January 1, 2025

TrackMyHours offers subscription-based access to enhanced time tracking, reporting, and professional invoicing features. Our subscription plans include:

  • Free Plan: Basic time tracking with limited features
  • Pro Plan: Advanced time tracking, detailed reports, and branded invoices

Subscriptions are billed monthly or annually and grant access to premium features during the active billing period.

You may cancel your TrackMyHours subscription at any time:

  • Self-Service: Cancel directly through your account settings.
  • Email Request: Send a cancellation request to support@trackmyhours.app.
  • Effect of Cancellation: Cancelling stops future renewals but does not affect your current billing period.
  • Access Until End: You retain full access to premium features until the end of your paid term.

After your subscription ends, your account will automatically revert to the Free Plan, where you can continue using basic time tracking features.

Refunds are limited to specific circumstances to ensure fairness and transparency. Policies differ for monthly and annual subscriptions.

1. Monthly Subscriptions

Refunds are not generally provided except in these situations:

  • Service Outages: Extended downtime preventing access to core features.
  • Billing Errors: Incorrect or duplicate charges.
  • Technical Failures: Issues preventing access to core features such as time tracking, reports, or invoicing.

In such cases, a pro-rated refund or credit may be issued based on the unused portion of the billing period.

2. Annual Subscriptions

Annual plans provide discounted pricing for a full year of access. As such, they are non-refundable after the initial cooling-off period:

  • Full Refund within 14 Days: You may request a full refund within 14 days of your initial purchase.
  • No Refunds after 14 Days: After this period, payments are non-refundable and access continues until the end of your billing term.
  • Plan Changes: You may switch between monthly and annual billing at renewal; mid-term changes apply credits toward your next invoice but do not trigger refunds.
  • Legal Exceptions: Refunds may be granted where required by law (e.g., EU cooling-off rules).

3. Not Eligible for Refunds

  • Change of mind after using time tracking or invoicing features.
  • Failure to use the service during an active billing period.
  • Preference changes regarding reports, templates, or formatting.
  • Account suspension or termination for policy violations.

You may cancel at any time to prevent future renewals. Cancellations take effect at the end of your current billing period.

To request a refund:

  1. Contact Support: Email support@trackmyhours.app with your refund request.
  2. Include Details: Provide your account email, invoice ID, and reason for refund.
  3. Review: Requests are reviewed within 5 business days.
  4. Processing: Approved refunds are issued within 7-10 business days to the original payment method.

Partial refunds are rare and considered only in exceptional cases.

New users receive a 14-day free trial of all premium features:

  • No Payment Required: You can try the app without entering credit card details.
  • Full Access: Explore all time tracking, reporting, and invoicing tools.
  • No Automatic Billing: Trials do not auto-convert to paid plans.
  • Data Retention: Your trial data is preserved if you upgrade to a paid plan.

When payments fail:

  • Grace Period: You have 7 days to update payment details.
  • Service Suspension: Premium features are suspended after 7 days of non-payment.
  • Data Preservation: Data is preserved for at least 30 days before permanent deletion.
  • Account Recovery: Full access is restored immediately upon successful payment.

If you dispute a charge through your payment provider:

  • Contact Us First: We encourage direct resolution before filing a dispute.
  • Account Suspension: Accounts under dispute may be temporarily suspended.
  • Documentation: We will provide transaction and usage records to assist in resolution.
  • Outcome: Once resolved, access will be restored. Fraudulent or repeated disputes may result in permanent termination.

We may update this policy periodically to reflect changes in subscription offerings or billing processes. Material changes will be communicated by email or in-app notification at least 30 days before taking effect.
